5 signs your firm has an AI-shaped hole

Most owners don't wake up thinking "I need AI." They wake up thinking "why does this keep landing on my desk." Those are the same problem wearing a different name. Here is how to tell if yours is one of them.

1. The same document gets retyped into three systems

Intake form, CRM, project tracker. Someone is copying the same client information by hand into each one, every single time a new client comes in. That is not a training problem. That is a system with no connective tissue, and it is exactly the kind of work AI closes without anyone having to remember to do it.

2. One person is the only one who knows how a process actually works

If your firm has a process that lives entirely in someone's head, and that person going on vacation creates real risk, you don't have a process. You have a single point of failure. Writing it down is step one. Making a system carry it is step two.

3. Your team already "tried AI" and nothing changed

Someone opened ChatGPT, got a decent answer once, and went back to the old way. That is the most common pattern I see, and it means the tool was never the problem. Nobody set it up to know your firm, your clients, or your house style, so it stayed a novelty instead of becoming infrastructure.

4. Client work waits on you personally for something a system could do

Status updates, first drafts, document chasing, the re-keying between tools. If you are the bottleneck for work that does not require your judgment, that is not a compliment to your involvement. It is capacity you are leaving on the table.

5. You've priced a hire to fix the admin load, and the math didn't work

A full-time hire to handle admin overflow is expensive and slow to ramp. If you have run that math and backed away, that is usually a sign the job is well suited to a system, not a person, because most of it is repeatable and does not need to be reinvented each time.
